Qualification-Based Shift Bidding

Ensuring the right person is in the right role is critical for operational efficiency, safety, and compliance. ShiftBID is designed to solve this challenge by automatically enforcing your company's specific rules and requirements. ShiftBID allows you to set specific qualifications and certifications for any shift or group of shifts. Whether you need a team member with a specific license, a particular training, or a certain skill set, the system automatically enforces these rules. When employees log in to bid, they will only see and be able to select the shifts for which they are qualified. This eliminates extensive manual review and potential scheduling errors. It also works seamlessly with other bidding rules (like seniority), acting as the first layer to ensure every bid comes from a qualified employee.

How it works

Employees are categorized (or "tagged") in ShiftBID by varying skills, qualifications, and certifications. When a shift schedule is created and bid on by employees, employees can only bid on shifts they are qualified for based on the standards set by our qualification-based system. This allows management to fill roles with large, complex organizations effectively without as much manual review.

Benefits

  • Ensures compliance and safety requirements -  In industries where specific certifications are legally required or crucial for safety (e.g., healthcare, manufacturing), this system automatically enforces these rules. This reduces the risk of non-compliance, costly fines, or safety incidents that could arise from an unqualified employee taking a shift.

  • Saves time for management - Without a qualification system, managers would have to manually review every bid to ensure the employee is qualified. This is a time-consuming and error-prone process, especially in large organizations. Qualification-based bidding automates this, freeing up management to focus on more strategic tasks.

  • Scales with your organization - The ability to add multiple rules and qualifications at both the shift and group level means this system can handle the complexity of a growing organization.

  • Works with seniority and custom order rules - Since this works like a "tagging" system, qualifications also work in tandem with seniority-based bidding and custom order bidding.

Use Cases

Staffing an Intensive Care Unit (ICU)

A hospital needs to staff an Intensive Care Unit (ICU). Only nurses with specific ICU certifications and at least two years of experience should be able to bid on these shifts. ShiftBID automatically filters the available shifts so that only qualified ICU nurses see and can bid on them, preventing scheduling errors and ensuring patient safety.

Factory Manufacturing

A factory has several different production lines, each requiring specialized training (e.g., CNC machine operation, welding, quality control). With qualification-based bidding, ShiftBID ensures that only certified welders can bid on welding shifts, and only trained CNC operators can bid on those specific roles, maintaining operational integrity and product quality.

Retail Store

A large retail chain has different roles within each store, from cashiers to department managers to forklift operators for the warehouse. The system can be configured so that only employees with a valid forklift license can see and bid on shifts requiring that certification, streamlining the process of staffing specialized roles.

Event Management

A large-scale event company hires staff for various roles, such as security, first-aid responders, and hospitality. First-aid roles require a specific certification, and security roles require a different license. The system ensures that staff can only bid on roles for which they hold the necessary credentials, ensuring all legal and safety requirements are met for the event.

Questions we get asked

Employees can hold multiple qualifications, and the ShiftBID software will present them with all shifts for which they meet any or all of the required qualifications, depending on how the rules are set by administrators.

Employees can have their qualification levels updated or changed at any time by administrators before a bid.

In the bid selection screen, any shifts for which they are qualified will be available for selection. A lock icon will appear over shifts an employee is not qualified for based on the rules applied by administrators.
